Principles

The four essential principles of PetrOmbudsman are:

Independence

    PetrOmbudsman exercises sole discretion over whether or how to act regarding an situation brought to its attention

    It has access to all information and all individuals in the organization

    PetrOmbudsman is not part of management or trade union structures

Confidentiality

PetrOmbudsman holds all communications with those seeking assistance in strict confidence:

  • It will not reveal, and will not be required by the company to reveal any information that could lead to the identification of any individual contacting the PetrOmbudsman
  • It will take all reasonable steps to safeguard confidentiality of any individual contacting the PetrOmbudsman
  • It does not testify in any formal or informal process, inside or outside the organization
  • It does not keep records containing identifying information
  • It makes available only cumulative reports, in a manner that protects the confidentiality all individuals contacting the PetrOmbudsman

Exceptions to this principle are:

  • The individual contacting the PetrOmbudsman has given express permission
  • There is an imminent risk of serious harm. The determination of this risk is to be made solely by the Ombudsman
  • There is a legal provision applicable or a specific request of the law enforcement authorities

Neutrality & Impartiality

  • PetrOmbudsman ensures impartiality, fairness and objectivity in dealing with every situation brought to its attention
  • It acts towards applying fair and equitable processes and does not advocate on behalf of any individual
  • It is responsible for considering all legitimate concerns brought to its attention
  • It is responsible for taking into account the interests of all individuals affected by the matters under consideration
  • It will not get involved in any situation which might generate a conflict of interest

Informality

  • PetrOmbudsman represents a supplementary communication channel that doesn’t replace any formal channels of the company or legal means
  • It uses informal means as: active listening, exchange of information, analysis, identifying and rephrasing the aspects brought to its attention
  • It helps to identify possible options for solving the matters brought to its attention
  • Upon request, it can facilitate informal discussions
  • It does not participate to any formal or administrative process
